About the job
Responsibilities:
Plan, expand, and implement existing Chamber events, including flagship events like the Fruitcake Toss, Gumbo Cook-off, Wine Festival, and the Emma Crawford Coffin Race. Additional smaller Chamber events include the Ice Cream Social, ManiPalooza, Summer Concerts, Wine Walk, Holiday Tree Lighting and Strolling Musicians.
Coordinate/collaborate with community groups and City on Carnivale, the Heritage BrewFest, ManniAwards and the Day of Friendship.
Maintain historical files and documentation for all events.
Collaborate with the Executive Director, volunteers, and the Board of Directors to set event goals, objectives, and implementation plans.
Develop and implement small-scale or new events that support Chamber initiatives.
Create, manage, and maintain accurate event budgets with the Executive Director.
Develop and process all event administration materials, including applications from posting through acceptance.
Promote events through community calendars, flyers, and local postings.
Manage and maintain the event database(s) for efficient organization and tracking.
Partner with the Marketing Coordinator for press releases, marketing materials, online and social media promotion of events.
Represent events in media interviews.
Solicit and secure event sponsorships, focusing on sponsor retention and growth year-over-year.
Negotiate agreements with outside vendors and manage vendor relationships.
Attend relevant City meetings (ERIG, PARAB) and maintain open communication with City staff as necessary for event planning.
Monitor the Chamber's Nextdoor account for event-related updates and community engagement.
Perform additional duties as assigned, including greeting visitors, answering calls, working with event subcommittees, and engaging with local leaders and partners to identify beneficial opportunities.
Qualifications:
Strong organizational and interpersonal skills.
Proficiency in creating marketing materials using Canva (Photoshop or InDesign experience is appreciated but not required).
Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat.
Effective verbal and written communication skills.
Ability to problem-solve, work independently, manage multiple tasks, and adapt to changing situations.
Excellent attention to detail.
Flexibility to work a varied schedule, including weekends as needed.
Valid Driver's License
