Title: Special Events Coordinator Location: Midtown Org Unit: Events Work Days: Monday-Friday Weekly Hours: 35.00 Exemption Status: Exempt Salary Range: $70,000.00 - $85,000.00 *As required under NYC Human Rights Law Int 1208-2018 - Salary range for this role when Hired for NYC Offices Position Summary The Special Events Coordinator plays a key role in planning and executing events and programs that align with the strategic goals of Weill Cornell Medicine. Under guidance, this position is responsible for managing the full lifecycle of a portfolio of events. Job Responsibilities Handle all logistical elements of events, from conception through execution, including venue selection, audio-visual solutions, décor, catering, vendor management, and the creation of event collateral, floorplans and runs-of-show. Work closely with gift officers to develop event strategies and programming, including identifying parameters to generate appropriate mailing lists for events. Design and produce invitations, programs, signage and promotional items in accordance with Weill Cornell Medicine’s branding guidelines; assist in the preparation of briefings for leadership. Manage day-of operations including overseeing set-up and breakdown, coordinating staff/volunteers, and troubleshooting any issues that arise. Work with External Affairs’ Operations to ensure compliance with policies, regulations, and federal laws pertaining to content and use of donor/patient data; assist in review of legally binding contracts and agreements. Education Bachelor's Degree Experience At least 3-5 years of relevant experience. Significant related experience can be considered in lieu of a degree. Knowledge, Skills and Abilities Organizational Skills: Strong ability to manage multiple projects simultaneously and meet tight deadlines; work collaboratively with internal and external teams, vendors and stakeholders. Communication Skills: Excellent written and verbal communication skills, with a focus on customer service. Technical Skills: Proficient in Microsoft Office Suite, Adobe Design Suite, and CRM database applications. Attention to Detail: Ability to manage details with precision to ensure seamless execution. Problem Solving: Strong critical thinking skills to effectively pivot, address and resolve challenges that arise during event planning and execution. Licenses and Certifications Working Conditions/Physical Demands Occasional evening and weekend work. Extensive travel within NYC, with some travel outside NYC. Ability to lift a minimum of 20 pounds.
