The Role 

We are seeking a highly skilled and strategic Executive Assistant to the CEO who will go beyond traditional administrative duties and play a key role in driving high-priority initiatives, project management, and executive decision-making. In this role, you will act as a trusted partner to the CEO, ensuring alignment across the leadership team, managing critical projects, and supporting the day-to-day operations of the executive office. The ideal candidate will be proactive, highly organized, and capable of leading initiatives that align with the company’s strategic goals. 

What You’ll Do 

Executive Operations Support: 

  • Serve as the primary point of contact for the CEO, managing communications, scheduling, and correspondence. 

  • Prepare briefing materials, presentations, and reports for executive meetings, including agenda preparation and follow-ups. 

  • Act as a gatekeeper to prioritize the CEO’s time, ensuring focus on the most critical business activities. 

Strategic Initiative Management: 

  • Support the CEO and in the planning and execution of strategic initiatives, working with leadership teams to drive key projects. 

  • Conduct research and analysis on various business matters, providing the CEO with insights and recommendations. 

  • Prepare regular updates and reports on company performance, project milestones, and key objectives for the CEO. 

Cross-Functional Leadership Support: 

  • Collaborate with senior leadership to ensure effective communication and alignment across departments. 

  • Support special projects on behalf of the CEO, ensuring timelines and objectives are met. 

  • Facilitate communication between the CEO and internal/external stakeholders, fostering collaboration and transparency. 

Operational and Project Management: 

  • Drive operational improvements by identifying opportunities for efficiency and process optimization within the executive office. 

  • Lead the coordination of executive offsites, leadership team meetings, and other high-level events. 

  • Manage cross-functional initiatives, ensuring alignment with organizational goals and efficient execution. 

  • Develop and manage systems for tracking and reporting on key projects, ensuring timely updates to the CEO. 

Executive Office Liaison: 

  • Act as a liaison between the CEO and the broader leadership team, ensuring the effective flow of information and priorities. 

  • Support in the preparation of board materials, investor presentations, and other high-profile engagements. 

Leadership & Team Development: 

  • Facilitate and coordinate key leadership development activities, including leadership offsites and team meetings. 

Skills & Qualifications 

  • Bachelor's degree preferred. 

  • Demonstrated ability to take initiative and drive projects forward with a proactive and results-oriented approach. 

  • Exceptional proficiency in time management, organization, and multitasking. 

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. 

  • Excellent verbal and written communication skills. 

  • Strong attention to detail and problem-solving abilities. 

  • Ability to work independently and take initiative. 

  • Professional demeanor and the ability to interact effectively with diverse individuals. 

  • High level of integrity and discretion when handling sensitive information. 

  • Flexibility to adapt to changing priorities and requirements.
