Salary: $45,000-$50,000

We are seeking a highly organized and personable Administrative Assistant to join our musculoskeletal rehabilitation team focused on serving law enforcement officers, firefighters, and other first responders. This vital front office role ensures a welcoming and efficient environment for our patients while supporting daily clinic operations.

Key Responsibilities:

• Greet and check in patients and visitors in a professional, respectful manner
• Answer phone calls, respond to inquiries, and route messages appropriately
• Schedule new and returning patient appointments, optimizing provider availability
• Collect and process patient payments, including copays and account balances
• Medical billing
• Verify and document insurance coverage and benefits prior to appointments
• Navigation of insurance provider portals to check eligibility and benefits, submit prior authorizations, and pull explanation of benefits (EOBs)
• Maintain accurate electronic medical records and front office documentation
• Support coordination between clinical staff and patients for follow-up care
• Foster a supportive environment for our first responder patients and their unique needs
• Uphold confidentiality and HIPAA standards at all times
• Other duties as assigned

Qualifications:

• High school diploma or equivalent (associates degree preferred)
• 12 years administrative or front desk experience in a healthcare setting
• Strong communication and interpersonal skills both in person and virtually
• Proficiency with scheduling systems and EMR software
• Empathy and professionalism in dealing with high-stress or trauma-exposed populations
• Experience working with first responders is a plus
• Independent, highly organized, self-starter
