Summary
This position provides general secretarial and administrative support for the Social Work Department.

Duties

Essential Functions
  • All positions operate on a hybrid schedule, requiring a minimum of three (3) days per week of onsite presence at CCRI. Consistent adherence to this schedule is an essential function of this role, as it facilitates the efficient execution of key job duties and is essential team collaboration. 
  • Maintains the CCRI waiting list for childcare financial aid including screening for eligibility, data entry, mailings and communication with customers concerning waiting list issues.
  • Data entry for Co-Directors of Child Care Financial Aid and Child Care Financial Aid Supervisors as needed.
  • Conducts customer service surveys and compiles data for reporting.
  • Maintains accurate data for authorized providers in ONECase.
  • Consistently achieves a high degree of accuracy keying attendance.
  • Works with CCFA staff as needed to clarify and resolve payment/enrollment issues.
  • Problem solves errors on payment calculation error report to ensure accurate payments to providers.
  • Provides technical assistance to providers regarding payment information.
  • Provides relief for receptionist on a rotating basis. 
  • Processes agency mail on a rotating basis and manages Child Care Financial Aid Department?s mail on a daily basis, understanding time sensitive materials.
  • Maintains and files closed client files and purges as needed including packing to send off-site and documentation of files sent.
  • Orders, maintains and stocks all Child Care Financial Aid supplies needed for daily operations.
  • Uses own transportation to make periodic contacts and visits to centers, family childcare homes and unregulated providers and assigned meetings outside of the office.
  • Assists in monitoring incoming calls to the CCFA Work Queue.
  • Maintains all Child Care Financial Aid copiers and printers between servicing.
  • Performs other duties as needed to further the agency?s mission and goals.

Requirements

Minimum Qualifications
  • High school degree and post high school office management training and/or secretarial skills.
  • Solid computer knowledge and other secretarial skills. 
  • Good active listening and customer service techniques.
  • Ability to communicate tactfully and establish good rapport with parents, child care providers, and CCRI staff.
  • Working knowledge of human services.
  • Working knowledge of subsidy policies that relate to qualifications to receive child care subsidy.
  • Ability to work well under stress and pressure of deadlines.
  • Ability to adapt to administrative and policy changes.
  • Good oral and written communication skills.
Knowledge, Skills and Abilities  
  • Knowledge of child development, state and local eligibility regulations for funding and child care services. 
  • Ability to use good judgment in interpreting policies uniformly and fairly without regard to personal prejudice or opinion.
  • Ability to tolerate different lifestyles, develop effective working relationships, and deal tactfully with clients, peers, and others;
  • Ability to establish good rapport with parents, child care providers and CCRI staff. Ability to work well under stress and pressure of deadlines.
  • Ability to adapt to administrative and policy changes. Good computer skills.
  • Ability to maintain confidentiality regarding departmental and agency matters.
  • Bi-lingual skills a plus.

Physical Demands
This is a partially sedentary role; however, some physical requirements during travel and events is required. This would require the ability to lift up to 25lbs unassisted, bend and stand for long periods of time as necessary.
